POSITION SUMMARY

The Fleet Coordinator Lead serves as the primary subject matter expert for fleet coordination activities and acts as a point of escalation and guidance for Fleet Coordinators. In addition to performing core coordinator responsibilities, this role provides day-to-day leadership, supports decision-making on asset allocation and utilization, and partners closely with Sales, Operations, Supply Chain, and Logistics leadership to optimize fleet availability, build timing, and utilization across the network.

COMPENSATION

This position offers a competitive compensation package, benchmarked to regional market standards. It consists of a base salary plus quarterly profit sharing after one year of employment.

RESPONSIBILITIES

  • Lead coordination on daily fleet operations, ensuring vehicle readiness and maintenance, factoring in labor capacity
  • Coordinate vehicle repairs, inspections, and compliance with safety standards.
  • Manage Repair Schedules, WIP Prioritization, Asset Allocations across all PTR and non PTR Locations, and overall timely & accurate order fulfillment.
  • Coordinate with the master scheduler on production schedules across all PTR and non-PTR locations and cascade information to fleet coordinators
  • Foster teamwork and provide day-to-day leadership to Fleet Coordinators
  • Analyze and prioritize sales orders and availability of assets and cost-saving opportunities for PTR and our customers by considering vehicle specs, duration of rental, and logistical costs to provide recommendations that work for all parties throughout the order selection and fulfillment process.
  • Product, upfit, and industry knowledge, including customer-specific requirements
  • Main point of contact with logistics, operations, and supply chain teams for optimal vehicle deployment and streamlined order fulfillment
  • Implement scheduling systems to enhance vehicle utilization and minimize downtime.
  • Use fleet management software to monitor vehicle utilization, maintenance, and operational metrics.
  • Maintain high standards of customer service, addressing issues proactively.
  • Coordinate with internal departments to ensure fleet operations align with broader business goals.
  • Oversee the daily operations of the fleet team to fulfill sales orders effectively and efficiently, and meet our customers’ needs.
  • Strong administrative skills to create and manage workshop orders, parts requests, Excel spreadsheets, and sales orders for multiple locations at the same time across multiple databases

LEAD RESPONSIBILITIES

  • Serve as the primary point of contact for Fleet Coordinators, answering questions and guiding asset selection, scheduling, and fulfillment challenges.
  • Act as an escalation resource for complex or high-impact orders, utilization conflicts, and time-sensitive customer needs.
  • Balance competing demands across regions and departments by prioritizing fleet deployment based on utilization, customer requirements, and operational capacity.
  • Partner with department leads (Sales, Operations, Supply Chain, Logistics) to align on build timing, asset readiness, and utilization strategies.
  • Support standardization of coordination processes and ensure consistent execution across all locations.
  • Identify trends, bottlenecks, and utilization risks and proactively recommend solutions to leadership.
  • This role does not have direct reports but provides functional leadership and guidance to Fleet Coordinators.

REQUIREMENTS

MUST HAVE

  • 2+ years of fleet related experience.
  • Some knowledge of the rental industry, customer service, upfits, and equipment.
  • Strong leadership, organizational, and multitasking skills.
  • Work in and out of defined process/systems
  • Excellent analytical, communication, and problem-solving abilities.
  • Demonstrated ability to lead peers or act as a subject matter expert within a fleet, logistics, or operations environment.
  • Ability to work collaboratively with cross-functional teams but also work independently
  • Make decisions on your own quickly
  • Proficiency with fleet management software and related technology.
  • Proficiency in utilizing D365, Fleet Wave or other scheduling software, Power BI reporting, SharePoint, internal databases, and Microsoft Office Suites (Outlook, Excel, etc.).
  • Ability to work indoors and outdoors as needed.
  • Availability to take after hours or weekend calls to fulfill sales orders
  • Experience making utilization, prioritization, or allocation decisions in a fast-paced operational setting.
  • Strong ability to communicate decisions clearly and align multiple stakeholders.

NICE TO HAVE

  • Bachelor’s degree in business administration, Logistics, Supply Chain Management, or a related field
  • Experience with ERP systems such as SAP
