RECEPTIONIST
POSITION SUMMARY
The Receptionist is a key support role within the organization and serves as the first point of contact for all visitors and incoming communications. This position creates a positive and professional first impression while supporting daily administrative operations, managing front desk activities, maintaining accurate records, and providing cross-functional support.

COMPENSATION
- This position offers a competitive compensation package, benchmarked to regional market standards. It consists of a base salary plus the opportunity for quarterly profit sharing after one year of employment.
RESPONSIBILITIES
- Serve as the face and voice of the company by greeting visitors, clients, and vendors in a professional and welcoming manner.
- Answer, screen, and direct incoming phone calls while maintaining a high level of customer service.
- Manage phone system schedules, including after-hours routing and holiday coverage.
- Communicate effectively between customers, Inside Sales, and internal departments to ensure requests are routed and resolved efficiently.
- Maintain and update CRM database, including entering new customer information and ensuring data accuracy.
- Coordinate incoming and outgoing mail, shipments, and deliveries.
- Order and maintain office and breakroom supplies to ensure all common areas are stocked and organized.
- Maintain the presentation of common areas, including conference rooms, breakrooms, and lobby, ensuring a clean and professional environment.
- Support facility upkeep by monitoring cleanliness and coordinating needs as appropriate.
- Track, organize, and maintain inventory control of vehicle license plates, ensuring accurate documentation and audit readiness.
- Assist with planning and execution of company events, including setup, coordination, and post-event cleanup.
- Coordinate and manage ordering of meals for large events and internal onsite meetings.
- Assist with administrative and operational projects, including audits, reporting, document preparation, and data entry.
- Provide support to HR and leadership teams with onboarding tasks, event coordination, and internal communications.
- Maintain confidentiality when handling sensitive company and employee information.
- Monitor inventory levels and identify cost-saving opportunities while maintaining service levels.
- Coordinate relationships with office vendors, including office supplies, catering, shipping, and facility services.
- Consistently creating a positive and professional first impression.
- Maintaining accurate and audit-ready records with minimal errors.
- Ensuring seamless communication across departments.
- Keeping all front office and common areas organized and presentable.
- Supporting company events and meetings with strong execution and attention to detail.
- Proactively contributing to overall office efficiency and team success.
REQUIREMENTS
MUST HAVE
- High school diploma or equivalent required
- 0-2 years of experience in an administrative or customer-facing role
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word, and PowerPoint).
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills with strong attention to detail.
- Exceptional customer service mindset with the ability to create a welcoming and professional environment.
- Ability to work both independently and collaboratively in a team environment.
- Self-motivated with a proactive approach to problem-solving.
- Ability to handle sensitive information with discretion and confidentiality.
- Strong reliability, punctuality, and accountability.
NICE TO HAVE
- Associate or bachelor's degree preferred or equivalent work experience
- Experience working with CRM systems or internal databases.
- Familiarity with office equipment such as multi-line phone systems, printers, and shipping tools.
